Quick! Someone just shared a Google Doc with your non-Gmail email address.What do you do?
In order to get a two-way sync, you will have to then click on the Backup and Sync icon on your MacBook top panel, click on the three vertical dots, click Preferences, click on the Google Drive. Download the Google Drive Windows desktop tool. You can pick between Individual, Team, and Enterprise options. Install it and then sign in with your Google Account. The installation process only takes a few minutes, and once you sign in, you’ll be able to see the Google Drive folder in your File Explorer.
Problem
As Google Docs and Drive have become more and more popular for personal andbusiness use, it’s very common to share Google Drive files with non-Gmail emailaddresses.
Usually, this results in one of two outcomes.
- The recipient attempts to follow the link in his email to the Google Driveitem and logs in with his personal Gmail account. He is greeted withthis dialog.When he clicks “Request access”, the sender gets an email requesting accessfor the recipient’s personal Gmail account.
- The recipient doesn’t have a Gmail account, so he asks the sender to exportthe Google Doc to Word or some other format he can read.
Neither of these outcomes are desirable.
The first outcome is not good because it requires the sender to take an extrastep for every recipient with whom she has shared the document, and it requiresthat the recipient share his personal Gmail address with the sender. Oftenpeople want to keep their personal and professional accounts separate.
The second outcome is not good because the sender has to change hertechnological choice arbitrarily. Also, if some recipients are collaborating inGoogle Docs and others require Word documents, then the sender’s life is gettingreally complicated.
But, don’t worry! It’s really easy for the recipient to use their non-Gmailaccount to access the document! But first, we need to make a choice.
The Choice
We need to know which kind of Google user you are. Let’s define some terms.There is a difference between having a Gmail Address and having aGoogle Account. All Gmail Address are Google Accounts, but not allGoogle Accounts require Gmail Addresses.
Depending on which situation you are in, you’ll want to use one of two differentsolutions.
- I have a Personal Gmail Address ([email protected])
- I have a Work non-Gmail Address ([email protected])
- I have a Personal non-Gmail Address ([email protected])
- I want to be able to open documents shared with [email protected] asthough they had been shared with [email protected]
- I want to be able to open documents shared with [email protected] in acompletely separate and isolated Google Account.
- I don’t have or want a Gmail Address
Create a new Google Account
Sign up for a Google Account with your non-Gmail Address. Let’s pretend yournon-Gmail Address is [email protected] This solution works for any type of emailaddress. It could be an email you have through your ISP, work, school, oranywhere you can receive email.
Follow these steps:
- Go to https://accounts.google.com/SignUpWithoutGmail
- Fill out the form (using [email protected]) and click “Next step”
- Accept the terms and conditions dialog
- Verify your email address. This may involve signing into your email accountand authorizing the Google Accounts application to know your email address,or it could be as easy as clicking a link in an email Google sends to youraccount.

Now, wheneveryou get a request to collaborate on a Google Doc or Google Drive item at thataddress, you’ll be able to view it as long as you are logged into that account.

Add an alternate email to your Google Account
If you only want to have one collection of Google Drive items, but you want tobe able to receive sharing requests an alternate email address, then this is theSolution for you.
- Login to your existing Google Account at https://accounts.google.com
- Once logged in visit the Email Settings at https://myaccount.google.com/email
- Click “Advanced”
- Click “ADD ALTERNATE EMAIL”
- You may be prompted to sign in again for security
- Fill in your non-Gmail address and click “ADD”
- You should see a pending verification page like this one
- Go check your non-Gmail email address and click on theverification link titled here.
- You may be prompted to sign in again for security
- When you are successful, you’ll see a page similar to step 7, but withoutthe (Pending verification) message.
Now, when you sign in on Google, you can use either your Gmail Address or yournew non-Gmail Address to login. And, more importantly, you will be able to openGoogle Docs and Drive files sent to either email address in the same account.Note: This process doesn’t require a separate password to sign in with yournon-Gmail Address. Just think of it as another name for the same Google Account.
Summary
Whether you create a separate Google Account, or add an Alternate Email Addressto your existing Google Account, you definitely can open Google Docs and Driveitems shared with any email address in the world. I hope you’ll share thisadvice anytime you share a Google Doc with collaborators and they respond byrequesting access for a different account.

Creating a Google account
In order to use Google Drive, you will need a Google account. Google accounts are free, and signing up for one is fairly simple. In order to create a Google account, you'll need to enter some information, including your name, birth date, and location. Creating a Google account will automatically create a Gmail email address and a Google+ profile.
If you have a Gmail address, you already have a Google account, so you won't need to create an account—you can simply sign in to Drive using your Gmail information.
Google Drive Desktop Tool
To create a Google account:
- Go to www.google.com. Locate and select the Sign in button in the top-right corner of the page.
- Click Create an account.
- The sign-up form will appear. Follow the directions and enter the required information.
- Next enter your phone number. Google will send a verification code to your phone that you will use to complete the sign up process.
- Enter the verification code sent to your phone and click Verify.
- The personal information page will appear. Follow the directions and enter your information, including your birth date and gender.
- Review Google's Terms of Service and Privacy Policy, then click I agree.
- Your account will be created.

Accessing Google Drive
Once you've set up your Google account, you can access Google Drive by going to http://drive.google.com in your web browser.
You can also navigate to Google Drive from any Google page (such as Gmail or Google search) by selecting the grid icon near the top-right corner, then clicking Drive.

Google Drive for mobile devices
Available for both iOS and Android, the Google Drive mobile app allows you to view and upload files to Google Drive using your mobile device.

Google Drive Desktop Won't Sync

If you prefer to work on the desktop, you can download the Google Drive desktop app to your computer. Available for Windows and OS X, this app makes it a bit easier to upload your existing files and work offline. Once it's installed, you'll see a new Google Drive folder on your computer. Any files you move into this folder will automatically be uploaded to your Google Drive.
